Receipts are difficult scans: thermal paper is faint, pages curl and totals can sit close to an edge. High contrast and careful crop review matter more than decorative filters.

Choose a repeatable order—date, vendor or expense category—before capturing the first receipt.

Prepare each receipt

Flatten it on a dark matte surface, remove shadows and capture the full boundary. Retake glare or motion blur before moving on.

Transfer and order pages

Use the QR scanner session, confirm each upload and arrange receipts according to the expense record. Include supporting pages immediately after the relevant receipt.

  • Check vendor, date and total.
  • Keep tax identifiers legible.
  • Remove duplicate shots.

Create, search and archive

Build the PDF, run OCR when searchable totals are useful, and verify recognition against the image. Follow the applicable financial retention policy rather than relying on a generic period.
